Things you need to know about how your Kiosk operates

This article summarises XUNO Kiosk settings and functionality.

Student Sign-in and Sign-out

Setting Explanation
Sign-in: When a student signs in, the Kiosk will automatically mark their attendance
Sign-out approval: Requires student to see an administrator before being signed-out 
Sign-out Marks attendance when student signs-out
Over-write: Allows existing attendance data to be over-written when a student signs-in & signs-out

Other Kiosk Settings

Options Menu > Lists & Options

Setting Explanation
Kiosk > Student Collection Options Customise and re-order the selections for who the student is being signed out by. Examples include parent/carer & Self Sign Out (Student)

Now a bit more detail

  • XUNO can automatically mark attendance for sign-ins and/or sign-outs.
  • You can restrict student sign-outs to only those students who are approved. Students are considered ‘approved’ when the attendance reason of the student’s next period is set to treat-as ‘Approved Absence’, or they do not have a timetabled class in the next period or all proceeding periods.
  • XUNO can send a copy of the printed pass via SMS to the student and visitor
  • XUNO can notify parents via SMS when their student signs-in or signs-out of a Kiosk
  • You can change the student and staff sign-in and sign-out Kiosk reasons
  • Each individual kiosk can be configured to show or hide the Student, Staff or Visitor menu options
  • Each Kiosk refreshes its settings once per hour, or each time you close and open the XUNO Kiosk App

Students

Students can use the Kiosk by either tapping on the ‘Students’ menu, or by using the iPad camera to scan their student card barcode. If they choose to scan their barcode, then the following rules apply (in order) for the Kiosk to automatically determine what to do. These rules apply on a day-by-day basis.

  1. If the student was last signed-out, then sign-in
  2. If the student has not been marked at all (unmarked) and not signed-in, then sign-in
  3. If the student was last marked treat-as ‘unapproved absence’, then sign-in
  4. If the student was last marked treat-as ‘approved absence’, then sign-in
  5. If the student was last marked treat-as ‘present’ and sign-out approval is not required, then sign-out
  6. If the student was was last signed-in and sign-out approval is not required, then sign-out
  7. If the student was last marked treat-as ‘present’ and sign-out approval is required, then check the next timetabled period > if it’s set to treat-as ‘approved absence’ or there is no next timetabled period then allow sign-out, otherwise don’t allow the sign-out
  8. If the student was last signed-in and sign-out approval is required, then check the next timetabled period > if it’s set to treat-as ‘approved absence’ or there is no next timetabled period or all periods are unmarked, then allow sign-out, otherwise don’t allow the sign-out

Additionally the following applies to students:

  • If the student manually selects the ‘sign-in’ option on the Kiosk, then always allow them to sign-in
  • If the student manually selects the ‘sign-out’ option on the kiosk and sign-out approval is not required then allow sign-out
  • If the student manually selects the ‘sign-out’ option on the Kiosk and sign-out approval is required, and there are no timetabled classes that day or all periods are unmarked, then allow sign-out
  • If the student manually selects the ‘sign-out’ option on the kiosk and sign-out approval is required, then check the next timetabled period > if it’s set to treat-as ‘approved absence’ or there is no next timetabled period then allow sign-out, otherwise don’t allow the sign-out
  • Students can sign-in and sign-out at any time before and after school. To be able to sign-out, the student has to have signed-in on that day.
  • Students receive a printed pass (and optional SMS if setting is enabled) when they sign-in and when they sign-out

Staff

Staff can use the Kiosk by either clicking on the ‘Staff’ menu, or by using the iPad camera to scan their staff card barcode. The following rules apply when staff sign-in or sign-out:

  • A staff member can always sign-in (regardless if they had previously signed-out or not)
  • A staff member can always sign-out (regardless if they had previously signed-in or not)
  • Staff do not receive a printed pass or SMS when they sign-in and sign-out

  

Visitors

Visitors can sign-in and sign-out using the Kiosk. The following rules apply to visitor:

  • A visitor’s pass is only valid for one-day: 12:00am to 11:59pm the same day
  • A visitor must have signed-in, in order to sign-out
  • To sign-out the visitor must either scan the barcode on their printed sign-in pass; or manually select the Visitor > Sign-out menu options and enter their pass number (including the “P”)
  • A visitor only receives a printed pass (and SMS if the setting is enabled) when they sign-in. No pass is printed when they sign-out
  • If the Kiosk SMS option is enabled, a visitor will receive a ‘thank you for visiting’ SMS when they sign-out.
  • A visitor can search for their details when signing in, if they have signed in previously. They can search by mobile number, company or name.
  • Visitors are also asked if they have a WWCC or VIT number, and are invited to enter this when signing in. Both of these numbers are checked against the government websites to be validated before allowing the sign-in process to be completed.
