Using Custom CSV to Import Students/Cost Items for Events & Fees

This guide explains how to use a CSV file to import students and cost items into a Xuno event. It includes steps for enabling CSV import, correctly formatting and uploading the file, and assigning multiple costs to a student.

How It Works

1. Enable CSV Import Option

When creating an event, you'll find an option in the Details section to enable CSV file import. This allows the students tab to be populated via a CSV file.

2. Upload the CSV File

After saving the event, go to the student tab to upload your CSV. Make sure the file:

  • Uses commas as delimiters
  • Ignores the first row if it contains headers (select the "Ignore headers" option)
  • You can download a sample CSV template by selecting:
    > Upload Students and Cost Items > Custom CSV Data > Download CSV Template

3. CSV File Format

The CSV file should include the following columns:

  • Student Code
  • First Name
  • Last Name
  • Description of Cost
  • Cost Amount
  • Voluntary (Yes/No)

Optional columns:

  • Student Form
  • Year Level

 

4. Adding Multiple Costs for a Student

To assign multiple costs to a single student, simply add separate rows for that student in the CSV file. Each row should include a unique description for each cost item. This ensures that the system treats them as individual costs.

5. Adding Extra Information / Uploading Multiple CSVs

You are not limited to a single CSV upload when importing students and costs. If you need to make updates or add more data, the system allows for multiple uploads.

What You Can Do:

  • Add new cost item to an existing student
  • Add new students and cost items

How to Upload:

  • Option 1: Edit and re-upload the original CSV with updated or additional data.
  • Option 2: Upload a new CSV containing only the new or additional data.

The system will automatically check for existing students in the student list. If a student code and the cost item description are the same, the entry will not be imported.  New students will be added to the event. No existing data will be deleted or overwritten.

When You Can Upload:

  • Before the event is published
  • After the event is published

This allows you to manage and update student and cost information at any time during the event setup or even after it goes live.
