Setting up and printing an incident or action letter

XUNO allows you to print letters for any incident or action. You can add as many different letters as you require for each incident or action type. Letters are created in Microsoft Word and then attached to the incident/action type.

Adding and modifying incident/action letter templates

  1. Go to Options > Software Settings > Award, Letter & Email Templates.
  2. From the dropdown list, scroll down and select the incident or action type you'd like to add your template to.
  3. Letters must be uploaded as Microsoft Word .docx files. If you wish to use merge fields in your letter, you can see the list of available merge fields by clicking in the Show Merge Fields button. The list opens in a new browser tab.
  4. Click the Add button to upload a new letter template.
  5. Use the Choose file button to navigate to and select your .docx file, then click the Add button in the popup.
  6. To edit the name of the letter, click on its name and type in your new text, then click anywhere else on the screen to save.
  7. To download a Microsoft Word template for editing, click the Download icon next to the letter's name.
  8. To replace a Microsoft Word template, click the Replace template icon next to the letter's name.
  9. To delete a letter, click the icon next to its name.

Printing incident/action letters

  1. Find a student using the search bar and click on their name to go to their student dashboard.
  2. Click on the Incidents item in the left hand menu.
  3. Change the year if applicable using the Year dropdown.
  4. Click the row of the corresponding incident or action.
  5. Change the date range shown if required using the month and year dropdowns.
  6. Click on the Print button that corresponds to the incident or action that you want to print a letter for, then select an option from the dropdown list. The resulting letter is generated as a PDF document.
