Managing Daily Organisation staff absences

This article is for schools using XUNO's Daily Organisation feature to record and manage staff absences.

All staff absences including sickness, leave, camps, excursions, etc. should be added into the Daily Organisation Staff Absences. This will allow you to then receive a complete overview of items (and staff absences) that require your attention on the Daily Organisation page. IMPORTANT: Unlike the Daily Organisation page which has a “pending” feature, any staff absences you add or change on this page will take effect immediately on your timetable and are not considered “pending”.

How to add a staff absence

  1. Click on the Administration menu, then click on Staff Absences under the Daily Organisation subheading.
  2. Click on the Add button.
  3. Fill out the fields as required. You can add multiple staff by typing their initials or name and then selecting them from the list.
  4. Select a reason and optionally enter additional information. The reason appears on the Daily Organisation page as well as the daily summary.
  5. Click Save.

How to delete a staff absence

Deleting a staff absence will not affect any Daily Organisation changes (including pending changes). If you have already replaced the absent staff member and then delete the staff absence, the replacement teacher will still be assigned to cover that class.

  1. Click on the Administration menu, then click on Staff Absences under the Daily Organisation subheading.
  2. Use the filtering options to select the date range that you would like view.
  3. Click the Delete icon that corresponds to the staff absence entry you want to delete.

How to print an absence report

  1. Click on the Administration menu, then click on Staff Absences under the Daily Organisation subheading.
  2. Use the filtering options to select the date range that you would like to print.
  3. Click the Print icon.
  4. Follow your browser’s prompts to finish the printing procedure.

How to export staff absences to CSV

  1. Click on the Administration menu, then click on Staff Absences under the Daily Organisation subheading.
  2. Use the filtering options to select the date range that you would like to export.
  3. Click the Export icon.
  4. The download will start automatically. Follow any browser prompts that appear.

How to add staff absence reasons

Your absence reasons that appear are the ones you select when you add a Staff Absence.

  1. Click on the Options menu, then click on Lists & Options under the Software Settings subheading.
  2. Select Staff Absence Reasons from the dropdown list under the Attendance subheading.
  3. Enter a new absence reason.
  4. Click Add.
