Copying Report Parameters

Rollover Report Runs

Often, very similar, if not identical, reporting processes are required from academic cycle to academic cycle, e.g. Semester 1 and 2 reports, Term 1 and Term 3 reports, etc, both within a year or across years.

Rather than setting up every Report Run from scratch, you may copy the parameters from one Report Run to another Report Run. The Report Run to which you are copying to must already have been created.

The Report Run Rollover window is available in Management > Rollover > Report Runs

The rollover of Report Run does not copy the actual templates or the subjects from one run to another. It copies the setup, including selected portions, their slots and subject associations to template, from one report run to the other report run.

This window has a preprocess phase, like that found in the importing and bulk enrolment processes. This preprocess informs you of the effects of the rollover of the Report Run parameters before you proceed with the action.

Report Run parameters generated by the Quick Setup for the Victorian Curriculum and Australian Curriculum used by Victorian and South Australian Government Schools, as well as the Victorian Catholic schools, are automatically excluded from the report run copy process. However, the Rollover tile may be used to copy the Quick Setup selections and parameters from one academic cycle to another.

Steps to copy a Report Run

Add the new Report Run
  1. Click the Process Reports tile in the Management tab and click Add to create a new Report Run.
  2. Complete the Details section of the Prepare Report Run window, covered in Report Run details of section of Student Report Production.
  3. Save and close the new Report Run.
Make selections in rollover Report Run
  1. Go to the Management > Rollover > Report Runs
  2. In the Rollover Report Run window:
    1. In the From field, select the Report Run that you want to copy from.
    2. In the To field, select the newly created Report Run to be copied to.
  3. Select the portions you wish to copy, by clicking the appropriate checkboxes.
Match the subjects’ academic cycles
  1. In the Match subjects’ academic cycles section, for each academic cycle applying to the Report Run being copied from, select the equivalent academic cycle in the report run being copied to.
  2. Keep in mind that a Report Run may transcend multiple academic cycles and, therefore, the same subjects may be found in multiple cycles, and this process ensures that the correct subjects are matched.
  3. Check the box regarding closed subjects if you want to include the subjects that have been closed in the target cycle in the copy process.
  4. Click the Next button to bring up any issues or problems that may be encountered, e.g. when a subject is not found in the target academic cycle.
  5. If necessary, click open each issue category listed to view the details and, if required, make changes to the action dropdown list for any of the categories or rows of issues.
  6. Click the Next button to copy over the parameters.
Copy the actual templates.
  1. Download the Word templates from the template location of the source Report Run and upload them to the current Report Run template section.
Make any changes to the Report Run
  1. Make any changes required to the new Report Run, e.g. add extra portions, slots and subjects, remove subjects that are not required, refresh templates, etc.
Save the Report Run.
