Using Create Enrolments in Accelerus Light

The Create Enrolments feature is a powerful tool that allows you to set up your student enrolments for the semester in just a few steps.

The Create Enrolments tile is located on the Management screen. When you click on it, the settings shown are those used in the previous semester. You simply need to adjust the subjects, year levels and teachers as required in preparation for the current semester.

  • Create semester-based Home Group subjects - typically used for the General Report page assessments. Once the Home Group subject/s are configured no further adjustment is required each semester
  • Create semester-based specialist subjects-  where subjects and their teacher are mostly the same across year levels, and students are in classes based on their home groups. We provide you with an extensive list of pre-set commonly used subjects
  • Create semester-based customised subjects - a school can define subjects with any code, name, and range of year levels and teachers. This can be used to set up all semester-based subjects, if preferred, or may be used in addition to the ‘specialist subjects' option for:
    • creating subjects not found in the pre-set list e.g. Humanities and Social Sciences, Technologies, Religious Education but can also be used to set up all subjects
    • Different combinations of specialist teachers for different year levels. For example, you may have one teacher taking Prep to Year 3 in Music and another for Years 4 to 6
  • Flexible subject and class creator - this option is generally only available if your school has more complex enrolment requirements. Typically you will be doing your setup session with Accelerus. Changes should be made cautiously or contact Accelerus for assistance if required

Create specialist subjects, classes and enrolments

If no subjects appear here, all subjects are configured under Create semester-based customised subjects, classes and enrolments.

  1. Click the Edit icon next to Create semester-based specialist subjects, classes and enrolments
  2. Review and adjust the included subjects, Min and Max year level and teacher assignments, as required
  3. Click Save and then Close

When different teachers take classes for the same year level and subject:

  • Select the teacher who takes the most classes and once the classes have been created, manually change the teacher assignments. OR
  • Where the assignment of teachers is on a year level basis, choose the Customised subjects, classes and enrolments option, as covered in step 2.2

When the home group teacher/s take a class ensure both Home Group Teacher 1 and Home Group Teacher 2 are selected in the Teacher 1 and Teacher 2 columns respectively.

Customised subjects, classes and enrolments

The subjects in this window are subjects that could not be configured in specialist subjects because either the subject name was not available from the pre-set list or you need to specify different teachers for different year levels of a subject.

  1. Click the Edit icon next to Create semester-based custom subjects, classes and enrolments
  2. Adjust the subjects and teachers as required for the semester by adding any new subjects and/or removing any subjects not running this semester. When you have a subject with different teachers for different year levels, use the same subject code and name, entering them more than once, nominating the Min and Max year levels and teachers as required
  3. Click Save and then Close

Process Create Enrolments

  1. Once all adjustments have been made, from the Enrolments Configuration window, click Next
  2. Check all messages summarising the actions that will be taken if you proceed, making any changes to the required options from the dropdown list and click Next to proceed
