How to Create a Custom Period Absence Letters

This guide explains how schools can set up and generate custom Period Absence Letters

Schools that record student attendance by period can now create customised absence letters that include the specific periods a student was absent.

The Period Absence Letter feature allows schools to create their own letter template and use it to generate absence letters directly from the Student Absences Report.

Customising your Absence Letter

Schools can customise the Period Absence Letter to suit their communication requirements. Xuno provides a default letter template, which can be modified to include your school’s preferred wording, formatting, and relevant merge fields. 

You can choose which available merge fields to include in your template, such as:

  • Student details
  • Parent/carer details
  • Absence information
  • Attendance information
  • Absence periods
  • Other supported merge fields

Tip💡 When creating your template, include the [ABSENCE_PERIODS] merge field if your school records attendance by period. This provides parents and carers with more specific information about which period the student was absent.

Create a Custom Absence Letter

Once your Period Absence Letter has been configured, you can generate letters from the Student Absences Report.

Go to Administration > Attendance > Student Absences Report

Note🗒️ The new Period Absence Letter does not replace the existing Absence Letter functionality.

If your school records attendance using AM/PM, you can continue to use Create Absence Letters as you normally do.

If your school records attendance by period, use Create Custom Absence Letters to generate letters using your customised Period Absence Letter template.
