How do I configure Xuno import settings for Accelerus?

Before importing from Xuno to Accelerus, you need to ensure the Xuno Import settings are configured correctly in Accelerus.

Step 1: Bring up Xuno Import Settings window

  • In Accelerus, go to Management > Import and Export Data
  • Under Xuno Import in the left panel, select Settings

Step 2: Link Cohort types

  • In the Cohort types section, click Edit

  • For each of the listed Xuno cohort types, select the relevant Accelerus cohort type from the drop-down or 'Don't import' if you do not wish to import this group from Xuno
  • Click 'Save' and 'Close'

Step 3: Select what existing data to keep or replace

The Existing data section allows users to select which data types are to be updated in Accelerus from Xuno. For many schools, data which is appropriate for the Xuno timetable may not match what is to be displayed on Accelerus reports. For example, a timetable may just have the subject name of English. In Accelerus you may already have changed this to be VCE English Unit 4 because this is what you want on the printed report. Therefore, you would not want the import process to keep suggesting you change the Subject name back to English.

Each of the records listed under Existing data will display either Keep or Replace. These apply when a difference has been found between Xuno and Accelerus:

  • Keep means retain what is in Accelerus.
  • Replace means offer to replace the data in Accelerus to what is in Xuno.

Any new records will still come across from Xuno, whether Keep or Replace are shown.

  • Click Edit next to Existing data section.
  • Tick any areas that you do not wish to be updated from Xuno.
  • Click Save.
  • Click Close.

These settings may be changed at any time.

Step 4: Exclude records manually

The Excluded codes section lists any Xuno records that you do not wish to have imported into Accelerus. For example, "dummy teachers" generally do not need to be imported. Note that data may be specifically listed in this screen, or can be excluded at the time of import.

  • Click the icon for the relevant record type in the Excluded codes heading, e.g. to exclude specific teacher codes, click Teacher
  • Type in the code of the first record to be excluded. The codes are not case-sensitive
  • Add further codes, one per row, pressing Tab or Enter to move to the next row
  • Highlight single or multiple rows that appear that you no longer want to exclude, clicking the Remove icon to delete the rows
  • Click Save

Step 5: Link codes

Sometimes, different codes may be used in Xuno and Accelerus for the same record. The Linked codes section allows both systems to recognise the codes as the same record. For example, in Xuno a school may use a TO number for the teacher code, but in Accelerus the teacher’s timetable code is used. While the Accelerus codes could all be changed, it is quicker to link the codes instead. Similarly, Year Level codes in Xuno usually have a leading zero, eg 07. However, most schools prefer to print just 7 on reports. By linking the codes, schools may use both options but still link the two records.

  • In the Linked code section, click the icon for the record type required, eg the Home Group icon to link Home Groups
  • Type the Xuno and Accelerus codes for the first record to be linked. The codes are not case-sensitive
  • Add further pairs of codes, one per row, pressing Tab or Enter to move between cells and to the next row
  • Highlight single or multiple rows that appear that you no longer want to exclude, clicking the Remove icon to delete the rows
  • Click Save

Step 6: Link Quilts to Cycles

The Quilts option, under Xuno Import in the left panel, allows Xuno Timetable Quilts to be linked to the appropriate Accelerus academic cycles, where timetable quilts are used.
While it is possible to link all previous Quilts and cycles, there is no need to link previous cycles. Only link quilts and cycles for quilts that are active from this point onwards.

  • If you have not already done so, setup the academic cycles that coincide with the quilts, doing this in Accelerus via Management > School Settings and Tools > Academic Cycles
  •  From Import and Export Data > Xuno Import, select Quilts
  • Find the current quilt
  • From the dropdown, select the academic cycle that occurs while this quilt is running
  • Click Save
  • Repeat the above as new quilts and cycles are created
