How to use student wellbeing information

XUNO can record and keep track of all of your student wellbeing and welfare information. This could include welfare issues, family issues, counselling sessions, chaplain visits, doctor’s reports, programs and more.

We recommend you ensure that only limited staff should have access to this menu due to the generally sensitive and confidential nature of the data.

Each student can have a primary support contact assigned to them as well as other information such as frequency of visits and programs entered. You can also add your own alerts which will appear next to the student on each page, alongside any other major alerts that have been imported from your SIS administration package (such as access restrictions, student at risk and medical alerts).

Wellbeing Information

  1. Choose a student from the search bar.
  2. Click on the Wellbeing item in the left menu.
  3. In the Wellbeing Information section, you can select a Primary Support Contact, Frequency of Visits and Behavioural Level from the drop down options.
  4. Next to Programs you can tick all of the programs (such as language support and integration) that the student is enrolled in. You may do this by selecting the drop down arrow and ticking the appropriate boxes.
  5. Next to XUNO Alerts you can tick all of the alerts that you want shown next to the student's name (e.g. Disability, Contact Welfare Staff). You can add to and modify this list yourself in your XUNO settings.
  6. Alerts coming from CASES will be shown next to CASES Alerts.
  7. Click Save, when done.

  

Adding Wellbeing Records

You can also add specific welfare notes with attachments, visitations, confidential data, discussions and any other information needed to record to a student's profile. To add specific records and information related to students' Wellbeing:

  1. Choose a student from the search bar.
  2. Click on the Wellbeing item the left menu.
  3. In the Wellbeing Notes section, click Add, to add a new Wellbeing Item or click on the icon to edit an existing Wellbeing item.
  4. Under the Details section, select a Date for the wellbeing record by clicking the calendar icon.
  5. Add any Comments you wish to add in the text box.
  6. Choose a Staff Member for this record by choosing from the drop down box.
  7. Enter any Current Support details if applicable.
  8. Enter a Support Group if applicable.
  9. This record is a private record. To make it Public to staff that have View Public Notes permission set, tick the box that says Other users can view this record.

  

Editing Wellbeing Records

You can also edit existing wellbeing items by following the simple process below.

  1. Choose a student from the search bar.
  2. Click on the Wellbeing item the left menu.
  3. In the Wellbeing Notes section, scroll down to an existing wellbeing item.
  4. Click the View or Modify this item icon.
  5. Edit your wellbeing item as needed.
  6. Click Save.

  

Deleting Wellbeing Records

It is not recommended that you delete wellbeing records as it is of great benefit to have a full timeline of a students wellbeing history but under the circumstances that deleting a record is necessary, follow the simple process below.

  1. Choose a student from the search bar.
  2. Click on the Wellbeing item the left menu.
  3. In the Wellbeing Notes section, scroll down to an existing wellbeing item.
  4. Click the Delete button.

  

Printing Wellbeing records

  1. Choose a student from the search bar.
  2. Click on the Wellbeing item the left menu.
  3. In the Wellbeing Notes section, scroll down to an existing wellbeing item.
  4. Click the Print icon on the far right of your selected column.
  5. The software will then generate a PDF document of the record, which can then be saved to your computer or printed.

  

Viewing Wellbeing Reports

  1. Click on the School drop-down menu and then click on Wellbeing under the Reports subheading.
  2. Choose the date range you want the report for by selecting one of the date filters available.
  3. For more filtering options select the Filter icon.
  4. Click on the Show button
  5. Select an individual wellbeing item or view the entire list.
It is recommended that only authorised staff members should be given access to this feature. On these pages an additional level of permission is available when ticking the  Other users can view this record checkbox. Ticking the checkbox will allow any user to have access to the menu item and view this record, even if other records are not available to them. This option has been added to allow you to share limited information with staff without compromising other sensitive information.
