How to create, add, view, delete student Awards/Achievements

How to create an award template

Creating custom award templates gives your school the ability to make beautiful awards which can be assigned to students, quickly and conveniently.

To make the template, simply create a new .docx document within MS Word 2007+ and begin designing your award. Write text, insert images and be as creative as you want; student awards are meant to be fun!

Once you have finished designing your template, include your XUNO merge fields. Merge fields are used in place of static text, such as the student's name, so as to change your non-specific template into a multi-use award.

The following example show you hoe to use a merge field:

Congratulations to [STFULLNAME] for receiving this terms [ACHIEVEMENT_AWARD] award!
	

If we were to apply this award to a student named Billy Smith for the achievement 'Most Improved', the printed award would look like this:

Congratulations to Billy Smith for receiving this terms most improved award!
	
What merge fields can I use?

To see the full list of merge fields go to the Options menu item, and click on Award & Letter Settings under the Software settings subheading. Once on this page click the Show Merge Fields button to view the full list.  

How to upload your template

  1. Click on the Options menu item, then click Award & Letter Settings under the Software Settings subheading.
  2. From the drop-down list, select the Awards option.
  3. Under the 'Microsoft Word Templates' header, click the Add button.
  4. Click the Choose File button.
  5. Navigate and select the award template you would like to upload.
  6. Click the Add button.
  7. You can rename the newly added award template to something that would make more sense or simply remove the extention of the document.

How to add an award

Once you have made the template you are ready to assign awards/achievements to your students! 

  1. Select a student using the search field.
  2. Click on Achievements on the left menu and then click on the Add button.
  3. Click on the Calendar icon to select the date of the achievement. 
  4. Click the Type arrow to select the type of achievement. You can also add a new achievement type by clicking on the Edit List link.
  5. Use the Award drop down to select the award template that you will use.
  6. Click on the Award Options icon to the right of the drop down list, to modify the award subject, award text, venue and ceremony date and time.
  7. Type any internal comments about the achievement in the comments box. 
  8. From the staff member drop down list, select the name of the staff member who is giving the award.
  9. In the merit points drop down list select how many merit points to give to the student.
  10. Click the Save button, when you have finished. To save and print the award, tick the Print preview the award after save checkbox and click the Save button.

Note: To modify your achievement types or add new ones, click on the Options menu and then click on Lists & Options. In the drop down list, select Types under the Achievements subheading. Here you can add new achievement types and modify or delete your existing ones. 

If multiple students are receiving the same award, you can include them in the one you are creating by clicking on the  Show / Hide additional student selection link at the top of the page. Then select the students from the drop down list. This will create an achievement and an award for each student that you add.

View or modify an award

  1. Select a student using the search field.
  2. Click on Achievements on the left menu.
  3. Specify the date range of the achievements you want to see by clicking on Today, This Week, This Month, Last 6 Months, This Year, Custom at the top of the page.
  4. Click on the Pencil icon next to the achievement you wish to view or edit.
  5. You can edit all of the award details, including its type, award options, comments, staff member and merit points.
  6. Tick on the check box next to resend alert emails to alert your users to the changes.
  7. When you are finished editing or viewing, click the Save button.

Delete an award

  1. Select a student using the search bar.
  2. Click on Achievements on the left menu.
  3. Specify the date range of the achievements you want to see by clicking on Today, This Week, This Month, Last 6 Months, This Year, Custom at the top of the page.
  4. Click on the Delete icon for the awards you want to delete. An alert will appear asking you to confirm, click OK to proceed.
